Passing data from Webhooks to your CRM and other tools

TIP: Webhooks are automated messages sent between apps—a type of notification that includes detailed information about new data in apps. Learn more

On this particular occasion, it revolves around transmitting the data produced by ReachOut.AI for you (such as the customized video thumbnail, landing page, and unique personalized video for each contact, etc.) to your CRM or any other app you use.

In this help article, we will cover the following:

Create a webhook trigger in Zapier, Pabbly, or Make.
Add the webhook URL in ReachOut.AI
Test and send data to your webhook
Pass data to other apps (Action)
Embed the HTML Code in your CRM/email tools
Proceed to the next step to continue building your campaign

By using Webhooks you can easily integrate ReachOut.AI with other systems for advanced and flexible data transfer.

To illustrate this tutorial, we will make use of Webhook by Zapier (Trigger) and "Add Lead to Campaign in Instantly" (Action) .

Here's how you can set it up:

1. Create a webhook trigger

If you don't have your own Webhook URL already, you can utilize automation platforms like Zapier, Pabbly or Make. These no-code tools will assist in obtaining one.

Click the Trigger step.

Search for and select Webhooks by Zapier.

Click the Event dropdown menu and select your webhook type (eg. Catch Hook).

Click Continue.

For most webhooks, the Catch Hook trigger will be the best option. Catch hooks work by giving you a unique URL that you can make POST requests to.

2. Add the webhook URL in ReachOut.AI

Next, you’ll be given the URL for your webhook and can set it up:

In ReachOut.AI webhook settings, you'll need to add a new webhook connection.

Choose the Campaign in ReachOut.AI you want to connect to Zapier
Find the webhooks settings screen on Step 4 (Integrations).
Paste the webhook URL you copied from Zapier from the step above
Select "Event" (eg. When video is ready)
Next, click "Create Webhook".

3. Test and send data to your webhook

After the trigger is set up go back to Zapier workflow, and click Continue.
The most recent live webhooks will be displayed as samples.

Zapier will separate each field from your webhook data, which lets you use them (e.g. email addresses, contacts data, personalized video info, etc) in later steps in your Zap.

ReachOut.AI will send data to Zapier webhook URL whenever a new video is created and fully-generated. To test a webhook trigger, you must first add a contact to your campaign.

After you send data (eg. add a new contact) from your ReachOut.AI campaign to the Webhook URL, return to your Zap's Test trigger section.
Click Test trigger.

If you don't get any data in the test, try to add a new contact to your campaign and see if the Zap receives it. If the data still doesn’t come in, double-check the webhook settings to ensure that Zapier's webhooks URL was added correctly.
